Role, task, context, format

A simple four-part structure that works for almost any task.

Role sets the perspective: act as an experienced customer support lead. Task states the job in one clear sentence: write a reply to the complaint below. Context gives what the model cannot know: the customer has been with us for five years, the delay was our fault, and we can offer free delivery on the next order.

Format describes the shape of the result: under 120 words, friendly but not overly apologetic, ending with one concrete next step. Format is the part people forget most, and it is the easiest way to get something you can use without rewriting.

You do not need all four every time. A quick question needs only a task. But when a result disappoints, check which of the four is missing, because that is almost always where the problem is.

Key takeaways

  1. Role, task, context and format cover what a model needs to know.
  2. Format is the most often forgotten part and the quickest win.
  3. When a result disappoints, look for the missing part.
