Shadow AI is the use of AI tools for work without the organisation's knowledge or approval: a personal chatbot account, a browser extension that summarises emails, a free transcription app in client meetings. Surveys consistently find that many employees use AI at work without telling anyone.
A total ban does not stop this. It pushes use onto private accounts and personal devices, where you have no visibility and no control. Data keeps leaving; you just stop seeing it.
The alternative is to make the safe path the easy path: approve good tools, explain the few rules that really matter, and give people a place to ask. Shadow AI shrinks when the official option is better than the workaround.
